Administrative Assistant involved in the daily management of a prominent musician, educator, composer and spokesperson’s career – Wynton Marsalis.
Responsibilities:
• Anticipate and meet client’s professional needs on an ongoing basis.
• Handle general administrative tasks; including managing daily appointments and contact database.
• Assist in coordinating special events, as assigned (i.e. corporate/private performances, speaking engagements, and book release parties).
• Conduct and organize in-depth research for speech preparation, book projects, educational presentations, etc. with needed follow-through to timely completion.
• Assist in coordinating press (photo shoots and interviews) for performances and tours.
• Manage requests for tickets and backstage access for New York City and on-tour events.
• Take the lead on coordinating office needs; including ordering supplies and working with IT professionals on computer or software issues.
• Co-manage volunteers and interns; including posting and interviewing candidates, along with training.
• Conduct various personal assistant duties; such as booking travel for immediate family.
• Handle other tasks, as required.
Qualifications:
A minimum of 2 years of previous administration experience; familiarity with music or entertainment environment preferred.
Bachelor’s degree or equivalent relevant work experience; major (or minor) in English a plus.
Superior communication skills, both written and verbal.
Ability to work with diplomacy, tact, and discretion.
Must be capable of drafting clear, grammatical correspondence; strong editing skills a big plus.
Exceptional organizational skills and attention to detail; along with the ability to balance priorities in a high pressure setting.
Proven ability to handle logistical arrangements and manage multiple projects.
Excellent interpersonal skills.
Ability to demonstrate a sense of urgency and act responsively.
Solid knowledge of Microsoft Word, Excel, Outlook, Access, Power Point, Database management, file sharing (video, audio, photo), and aptitude to learn new programs as needed.
Reliable, punctual, and flexible on a regular basis.
A willingness to work nights, as required.
Knowledge of jazz music a plus.
Verbal proficiency in Spanish and/or French desired.
