Job Description						                                             August 30, 2010</p>
<p>JOB TITLE:			Client Services Coordinator </p>
<p>DEPARTMENT:			Downtown Community Center &#038; Whitaker Center</p>
<p>CLASSIFICATION:  		Full-time (40 hrs/wk) – Non-union</p>
<p>JOB QUALIFICATIONS:<br />
Self &#8211; starter with 2 years of experience in a team-oriented customer service, front office or hospitality environment. Proactive and creative problem-solving ability, excellent customer service, communication, and administrative skills required. Customer-focused approach with demonstrated ability to develop relationships with new clients, return visitors, groups and staff in order to provide personalized service. Ability to multitask and handle challenging situations professionally and courteously.  Occasional weekend and evening availability required. Proven experience with records maintenance, reception, and inventory control. Understanding of and sensitivity to people of varied ages and socio-economic backgrounds is a must.</p>
<p>SUMMARY:<br />
Assume full responsibility for creating a positive experience for clients of the agency by developing and maintaining systems of customer service for all adult users of the Downtown Community Center (DCC), including Whitaker Center members and Community Programming clients.</p>
<p>REPORTS TO:<br />
Director of Downtown Community Center<br />
RESPONSIBILITIES:<br />
•	Maintain thorough understanding and up-to-date knowledge of all programs, departments, functions and offerings at the flagship site and all other locations of the agency;<br />
•	Provide detailed and accurate information; resolve routine administrative problems and answer inquiries concerning upcoming events, activities and operations of the DCC; services for adult members;<br />
•	Participate in marketing and program promotion activities;<br />
•	Gather feedback from clients and visitors and communicate the information to the stakeholders within the agency in order to continuously improve customer service;<br />
•	Maintain client database, including statistics and reports;<br />
•	Monitor and updates registration for programs;<br />
•	Monitor fees and petty cash reconciliation;<br />
•	Maintain calendar(s) of events and keep room assignments up to date;<br />
•	Order program and activity supplies;<br />
•	Collaborate on research for program ideas, funding sources and marketing;<br />
•	Solicit, track and fulfill rental agreements;<br />
•	Gather and coordinate information for monthly member newsletter;<br />
•	Create and distribute flyers for upcoming special events;<br />
•	Perform other related duties as assigned.</p>

<p><strong>Description</strong></p>
<p>The Conference Program Coordinator contributes to the overall effort of programs and services that increase the knowledge, visibility, and engagement of professionals in the field of arts and culture. This position serves as a coordinator for the annual Americans for the Arts Convention, the National Arts Marketing Project (NAMP) Conference, a webinar series, and related conference websites.</p>
<p><strong><span style="text-decoration: underline;">KEY DUTIES AND RESPONSIBILITIES</span></strong><strong> </strong></p>
<ul>
<li>Annual Americans for the Arts Convention</li>
<li>Act as program support for the Annual Americans for the      Arts Convention</li>
<li>Receive all session proposals, distribute to program      committee, track acceptances, produce regrets letters, work with the      Meetings and Events team on presenter agreements, and communicate      logistics needs to the events team for the Annual Convention</li>
<li>Organize meetings and reminders for program team, track      overall progress on established deadlines</li>
<li>Manage scholarship program including application      process, organizing review committee and communications with recipients      and unsuccessful applicants</li>
<li>Coordinate the leadership awards program</li>
<li>Coordinate invites and onsite management of all former      awardees who attend Convention</li>
<li>Work with the Development staff to invite all former      and current board members to attend Convention and special session during      which the President &amp; CEO makes his annual report</li>
<li>Partner with Marketing, Communications, and Technology      staff to execute promotional e-blasts and other marketing materials</li>
</ul>
<p><strong>NAMP Conference</strong></p>
<ul>
<li>Act as program support for the National Arts Marketing      Project Conference</li>
<li>Manage scholarship program including application      process, organizing review committee and communications with recipients      and unsuccessful applicants</li>
<li>Manage the Dine-Around program; enlist facilitators;      liaise with the Conference hosts for restaurant selection; manage onsite      sign up and reservations</li>
<li>Assist with preparing speakers; coordinate speaker prep      sessions and online resources</li>
<li>Organize meetings and reminders for program team, track      overall progress on established deadlines</li>
</ul>
<p><strong>Webinars</strong></p>
<ul>
<li>Support the Director of National Conferences with the      coordination of the webinar calendar, vendor relations, webinar set up,      and staff trainings</li>
<li>Research potential webinar instructors and relevant      topics</li>
<li>Produce all vendor payments and financial reporting</li>
<li>Assist with marketing the webinars to the field via      e-blasts and social networking platforms</li>
<li>Prepare webinar evaluations for review</li>
</ul>
<p><strong>Online Services</strong></p>
<ul>
<li>Maintain and update Convention and NAMP Conference      website content including, but not limited to, schedule, speaker      information, session details, pre-conference and post-conference      programming information, travel and housing, registration, and sponsor information</li>
<li>Meet annual revenue goals associated with selling      online advertising and sponsorship on ArtsMarketing.org (AMO)</li>
<li>Coordinate process of continually populating      ArtsMarketing.org with fresh and relevant content, including      collaborations with contributing writers, funders and experts in the field</li>
<li>Work with the Marketing, Communication and Technology      and Local Arts Advancement departments on the organization of content</li>
<li>Work with Americans for the Arts’ Marketing,      Communication and Technology department to develop and execute marketing      plans for AMO</li>
<li>Manage interactive elements of the website including      blogs, message forums, podcasts, and emerging technologies</li>
<li>Coordinate distribution of relevant content through      social media channels</li>
<li>Work with the Local Arts Advancement team to use AMO as      the online host to professional development programs</li>
<li>Drive traffic to Artsmarketing.org by distributing      regular (semi-monthly), newsworthy e-blasts</li>
<li>Actively review website analytics to ensure best      customer interaction and experience</li>
<li>Establish and maintain a database of online resources      and AMO contributors</li>
</ul>
<p><strong>Program Support</strong></p>
<ul>
<li>Develop and maintain program budgets and work with the      Director of National Conferences regarding program income and expenses</li>
<li>Maintain shared files related to the programs</li>
<li>Stay current on management, leadership and marketing      and other news, as it applies to arts &amp; culture, technology, business      development, and audience engagement</li>
</ul>
<p><strong><span style="text-decoration: underline;">QUALIFICATIONS</span></strong></p>
<ul>
<li>Bachelor’s degree required</li>
<li>Knowledge of Microsoft Suite; Drupal; web experience      (blogs, podcasts, and RSS feeds) is a must</li>
<li>Strong organizational skills and the ability to handle      multiple projects</li>
<li>Superior written and oral communication skills</li>
<li>Sales experience preferred</li>
<li>Attention to detail</li>
<li>Ability to work independently</li>
<li>Ability to develop and maintain strong interpersonal      relationships</li>
<li>Travel required</li>
<li>A positive attitude and an earnest interest in      providing good customer service to our members and partners</li>
<li>A commitment to advancing the arts in America</li>

<p>Everyday, we lose something. Everday, we receive. </p>
<p>ONE ARM AND A LEG is a two-part play inspired by a Yasnuari Kawabata story about sensuality and sacrifice, communication and distance, giving and receiving. A devised work combining dance and theater, the piece explores things we give and receive to one another, cultural translation, and communication in places of passage. What can be said in the spaces between cultures and words, with our bodies, through our desires, and on our journeys?</p>
<p>Part one (~45 min.) of ONE ARM AND A LEG premiered on August 25 at the Theater for the New City. The full work (~90 min.) will be presented starting September 1 at HERE Arts Center. Inspired by Yasunari Kawabata&#8217;s &#8220;One Arm.&#8221; Conceived by Calla Videt. Written and devised by Calla Videt, James Morris, Jesse Barron, Ben Sampson, Melissa Goldman, Ilinca Radulian, and the Company.</p>
